Stonewall Background Information
Stonewall was founded in 1989 by people whose aim was to create a highly professional lobbying organisation to put the case for equality on the mainstream political agenda. The organisation has become widely recognised for its work in transforming the legislative landscape for Britain’s 3.7m lesbian, gay and bisexual people including securing equal marriage in 2013. Our strategy is now to work to ensure equality in every part of the lived experience of LGBT people at home, at school and at work.
We work with a comprehensive range of stakeholders and are one of the most effective campaigning charities in Great Britain. Stonewall is at a crucial stage. The challenges that we face are complex as we attempt to ensure that every single lesbian, gay, bisexual and trans person achieves full equality. We have an ambition to reach further into our communities, sharing our knowledge, interventions and campaigns with the widest possible audience. We no longer have to just convince politicians; we have to convince the owner of the small business, the dad who doesn’t want a gay son, the priest who doesn’t know he has lesbian parishioners.
The Data team
The Data team is part of the Finance and Operations department but works effectively across the entire organisation. Because of this, the successful applicant will have the opportunity to get involved in a large range of Stonewall’s outputs, from national campaigns and fundraising appeals to empowerment programmes and events. What is more, as Stonewall is reaching the end of its CRM system’s lifecycle, the successful applicant will lead the project to select a new CRM from scope to migration, training and roll out.
Database Manager Role Description
Stonewall uses thankQ, a fully integrated CRM system. It is a comprehensive and highly tailored product which is used by all departments for functions such as fundraising, membership programmes and event management. The continued development and effective maintenance of the CRM system in a flexible and growing environment is critical to the success of Stonewall. For this reason the CRM system will be upgraded in the coming months and the Database Manager will project manage the transition. The Database Manager is also responsible for the administration of the CRM, promoting user engagement and leading the Data Team, as well as a group of superusers.
Key responsibilities and duties
General
• Oversee the management, supervision and professional development of the Data team.
• Coordinate the internal and external development of the CRM in line with organisational requirements for all departments.
• Maintain good working relationships, manage licensing agreements and ensure value for money with third-party suppliers.
• Create and maintain policies and procedures covering all areas of the database ensuring these are adhered to and produce user guides.
• Act as Data Protection Officer for Stonewall and manage all organisational data protection compliance, including management of user access.
CRM Maintenance
• Maintain the CRM to a high level of integrity. This includes developing and overseeing regular data audits and de-dupe/merging.
• Monitor, report and resolve any technical errors and problems with the database.
• In conjunction with the IT Manager, develop and maintain database back-up and restore procedures and periodically test them.
Support
• Develop and maintain management information reports to provide data insight in line with departmental and organisational requirements.
• Support staff to integrate thankQ into all working practices, particularly the recording of customer communications and cross-departmental data sharing.
• Coordinate the internal thankQ superuser group to ensure organisational cohesion of system development, processes and maintenance.
General responsibilities and duties
• Conduct the duties of the job description in accordance with the operational policies of Stonewall, including but not limited to the diversity policy and code of conduct
• Maintain good working relations with Trustees, staff, volunteers and other stakeholders
• Contribute to the general administration and delivery of all Stonewall’s programmes, events and overall objectives
• Undertake any other reasonable duties as may be required
Database Manager Person Specification
• Significant experience of database administration
• Advanced Microsoft Excel skills and proven experience of SQL for data handling
• Proven staff management and development experience
• Strong systems project management and team-working skills
• Experience of developing and linking a database strategy to an overall organisation vision and subsequent design and mapping of processes and procedures
• Excellent communication skills, with the ability to explain technical information and concepts to non-technical staff individually and in formal group training sessions
• Proven ability to work to a high standard with an eye for detail with first-rate analytical and problem solving skills
• Understanding and appreciation for information legislation such as the Data Protection Act
• Experience of working in a charity / not for profit sector desirable
• Commitment to the aims and objectives of Stonewall
The salary will be £31,000, rising to £34,000 after a year
